Designed for companies that need a certified system for the storage of their documents in compliance with the Law, that can be activated in a short amount of time and with reduced costs.
Brief description

The Trusted Doc solution is:

  • developed in Italy in full compliance with the current law, thus guaranteeing constant updating;
  • supplied in the "on demand" mode (charge depends on the work-flow) through a specialized service platform, hosted at the Intesa Server Farm;
  • integrated with the Digital Signature and logic security services provided by Intesa (CNIPA accredited Certifier)

Details about the solution

Intesa receives from the Customer Company the documents to be subjected to the storage process in compliance with the law, and works on the their behalf.The storage process is done in the following steps:

  • Definition of the substitutive archive
  • Acquisition of the digital signature and of the time stamp
  • Testing and any necessary corrective interventions
  • Transfer of documents to optical storage supports
  • Periodic testing and fulfillment of the substitutive archive

Internet connection by the company using the service.

The Trusted Doc solution was created to fulfill the obligations of the current laws, in particular:

  • Presidential Decree of the Council of Ministers dated January 13, 2004 - Technical regulations for the formation, transmission, storage, duplication, reproduction and validation, even temporary, of computerized documents.
    Establishes the technical rules for the generation, affixing and verification of digital signatures, the instructions the warranters follow for the issuing of the qualified certificates and the need for a validation system. The terms of this measure make up the general technical regulations for the full validity of the computerized document, both in the relationships between private individuals and pertaining to the PA.
  • Economy and Finance Ministerial Decree of January 23, 2004 - Method for fulfillment of the fiscal obligations relating to computerized documents and to their reproduction onto different types of supports.
    Fiscally recognizes the validity of digital filing of mandatory accounting documents. Sets the specifications of the computerized documents and regulates the process of digitally saving documents and analog records; establishes the display obligations of the documents and defines the relationships with the fiscal Administration. It also defines the methods for fulfilling the stamp duty on computerized documents, books and mandatory registers.
  • CNIPA Deliberation No. 11 of February 19, 2004 - Technical regulations for the reproduction and storage of documents on suitable optical supports to guarantee the conformance of the documents to the originals.
    Establishes the obligations and the regulations to follow to carry out the electronic filing processes and proxy storage of computerized and analog documents; it also defines the characteristics of the memory supports and the copy process, and outlines the tasks and specific responsibilities of the person in charge of the proxy storage (with the possibility of delegating to third parties).
